How fast should I call a property enquiry?
Why speed beats almost everything else
The buyer is in research mode for a short window, usually a few minutes at a stretch, and often late at night. That window is brief. During it, they talk. They remember which project they enquired about, and their questions are already formed and waiting for you. Call then, and you are simply answering questions they are actively holding in their head.
Call the next morning and everything changes. Now you are cold-calling a stranger who does not recall filling your form and has since spoken to two competitors. Same lead. Same cost. An entirely different conversation, which is why response time usually outranks lead quality as a lever, and why the teams that fix it see results far faster than the ones that keep switching agencies in search of a better answer.
Building a five-minute response without hiring more people
Push leads to a phone, not an inbox. This is plumbing. Portal and form leads should hit the assigned executive as a WhatsApp or app notification, with the name, number and project already sitting inside it, so nobody has to go hunting for anything before they dial. If your process involves someone downloading a CSV from a portal dashboard, the window is already gone.
Cover the hours the enquiries actually arrive. Look at your own timestamps. In residential real estate a large share lands between 9pm and midnight, which is exactly when nobody is on duty. A single evening shift, or a simple rota, changes more than a bigger media budget ever would.
For genuinely out-of-hours leads, fire off an immediate automated WhatsApp with the price band and a link to book a call slot. Not a generic acknowledgement. Send something with a real number in it, so the buyer has a reason to keep the thread alive.
Set one rule above all. The first attempt is a call, not a message. Messages are easy to send and just as easy to ignore.
What to track
Median time to first attempt, connect rate on that first attempt, and the share of leads never called at all. That last number is usually the ugly one, and in most sales teams it sits far higher than management believes. Pull it monthly, by source and by executive. Fixing uncalled leads is the cheapest growth available to almost any developer, because you have already paid for every one of them.

Inside five minutes, and inside one minute if you can manage it. Property enquiries are rarely exclusive, so the buyer who filled your form is very likely filling three more in the same session, and whoever reaches them while that tab is still open gets to frame the entire comparison. Wait a few hours and you are no longer first. You are an interruption.
Try again within thirty minutes, then space the attempts across different times of day, because someone unreachable at 3pm is often reachable at 9pm. Send a WhatsApp after the second miss, so your number gains a little context before the third attempt lands.
As a holding action outside business hours, yes. As your main response, no. Indian property buyers disengage fast from obvious automation on a purchase this size, and a bot cannot answer the price question that prompted the enquiry in the first place.
