Where the lead actually dies
Three points in the chain, and it is nearly always one of them. First, response time. An enquiry that lands at 9pm gets called at 11am the next morning, and by that hour the buyer has already taken three calls from other projects in the same sector, weighed them against each other, and settled on an opinion that no longer has any room left for you.
Second is the opening sixty seconds. Your telecaller starts with a pitch. The buyer wanted one thing, usually price or possession date, did not get a straight answer, and ended the call politely. That lead is not lost to a competitor. It is lost to boredom.
Third is the silence between the second call and the site visit. Eleven days pass. No message, no floor plan, no construction photo, nothing at all. The buyer has not rejected your project. They have forgotten it exists, which is worse, because you will never hear about it.
What to change first
Call within five minutes on every enquiry that arrives between 8am and 10pm. Cannot staff that? An automated WhatsApp carrying the price band, the sector and a slot-booking link buys you roughly an hour of attention while a human catches up. Do not open with a brochure PDF. A 14MB file will not load on a mid-range Android running on patchy 4G in Greater Noida West, and the buyer will not try twice.
Rewrite the first line your team says. Lead with the number the buyer came for. ‘Two BHK in Sector 79 starts at 1.1 crore, possession December 2027, are you looking in that range?’ That single sentence qualifies the lead and earns the next five minutes. Vague openings do the opposite.
Then build a fourteen-day sequence and actually run it. Construction photo on day three. Floor plan with the payment schedule on day six. A named site-visit slot, with a date, on day ten. Use whichever channel the buyer used to reach you, because a person who filled a form on Google Ads at midnight is not going to appreciate a 9am cold call from an unsaved number.
How to tell it is working
Track median time to first call, not the average. A single 3am enquiry will flatter the average badly. Track connect rate on the first attempt, separately by source. Then track enquiries to site visits booked, weekly. If your median response time falls under ten minutes and the site-visit ratio still refuses to move after three weeks, your problem is the price band or the inventory, not the follow-up. That is useful to know. It stops you spending another quarter fixing the wrong thing.
